Shemil AI ("we", "our", "us") provides workflow automation services for small businesses, including appointment booking, lead logging, and notification automation built on n8n. This policy explains what data we access, why, how it is handled, and how it is protected.

Data We Access

When you connect your Google account to our automation, we request access to the following Google services, only as needed to operate the automation you've configured:

Google Calendar (calendar.events) — to create, view, and manage calendar events related to appointment bookings you configure through our system.
Google Drive (drive.file) — limited to files you explicitly create with or select for use by our application. We cannot access, list, or view any other files in your Drive account.
Gmail (gmail.send) — to send notification emails on your behalf, such as booking confirmations or team alerts. We do not read, modify, or access your existing emails or inbox.

How We Use This Data

Data accessed through these scopes is used exclusively to operate the specific automation workflow you have set up with us (e.g. booking a befaring, logging a lead, sending a confirmation email). We do not use this data for advertising, profiling, or any purpose unrelated to the automation you requested.

Data Protection and Security

We apply the following technical and organizational measures to protect the data we access:

Encryption in transit: All data exchanged between your Google account, our automation platform (n8n Cloud), and connected services (OpenAI) is transmitted over encrypted HTTPS/TLS connections.
Encryption at rest: Data stored within our automation infrastructure (n8n Cloud) is encrypted at rest by our infrastructure provider.
Access control: Access to production systems and stored credentials is restricted to the operator of Shemil AI. OAuth credentials are stored securely using n8n Cloud's built-in credential encryption and are never exposed in plaintext or shared with unauthorized third parties.
Minimal scope principle: We request only the narrowest permissions required for each function (e.g. drive.file instead of broader Drive access) to limit the data our application can access at any time.
Data retention: We retain data only as long as necessary to operate the automation for the duration of our service agreement with you. Data is deleted upon request or upon termination of service.
Sub-processors: Our infrastructure sub-processors (n8n Cloud, Google Workspace, OpenAI) operate under signed Data Processing Agreements (DPAs) consistent with GDPR requirements.
No unauthorized sharing: We do not sell, rent, or share your data with any third party outside of the sub-processors strictly necessary to operate the automation you requested.

Limited Use Compliance

The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. We do not use data obtained through Google Workspace APIs to train, develop, or improve any generalized or foundational AI/ML models. Where AI (OpenAI) is used to process data as part of the automation workflow you configured, this data is used solely to execute your specific requested task (e.g. interpreting a customer message to log a lead) and is not used to train OpenAI's models, in accordance with OpenAI's API data usage policies and our Limited Use obligations under Google's policy.

Your Rights

You can revoke our access to your Google account at any time via your Google Account permissions page. You may also contact us to request deletion of any data we hold on your behalf.
